A “workflow” just means a repeatable sequence of steps instead of a one-off task you redo from scratch every time. You don’t need coding skills or automation software to build your first one — you need one task you do more than once, and a way to write the steps down.<\/p>\n

Find a task you repeat<\/h2>\n

Good first candidates: a weekly status update, replying to a common type of customer question, turning meeting notes into a summary, drafting social captions from a blog post. If you do it more than once a month using roughly the same steps, it’s a workflow candidate.<\/p>\n

Write down what you currently do, in order<\/h2>\n

Before involving AI at all, list the actual steps you take today. This matters more than it sounds — most people skip it and end up trying to automate a process they’ve never fully written down, which usually means missing a step.<\/p>\n

Decide which steps AI can actually help with<\/h2>\n

Not every step needs AI. A workflow might be: (1) you gather the raw information, (2) AI drafts a first pass, (3) you review and correct it, (4) you send it. Steps 1 and 4 might stay fully manual — that’s fine. The goal is removing the slowest or most repetitive part, not replacing yourself entirely.<\/p>\n

Save your prompt as a template<\/h2>\n

Once you’ve written a prompt that works well for a recurring task, save it somewhere you’ll actually find it again — a notes app, a doc, a saved-prompts feature if your AI tool has one. Reusing a proven prompt is most of what makes a workflow faster than starting over each time.<\/p>\n

A simple example, worked through<\/h2>\n

Turning meeting notes into a summary email:<\/p>\n

  2. Use a saved prompt: “Summarize these notes into 3 sections: decisions made, action items with owners, open questions. Keep it under 150 words.”<\/li>\n
  3. Skim the output for accuracy — especially names and who owns what.<\/li>\n
  4. Send it.<\/li>\n<\/ol>\n

    That’s a complete, real workflow. It doesn’t need any software beyond the AI chat tool you already use.<\/p>\n

    When to go further<\/h2>\n
